The Last Mile Analytics With ThoughtSpot And Raia

July 22, 2024

Let’s face it—despite all the fancy data analytics tools we have today, most of us still struggle to truly leverage the data we collect

We invest a lot in systems that give us great dashboards and alerts, but when it comes to understanding why things are happening and what to do next, we’re often left scratching our heads. This blog dives into the limitations of these tools and shows how integrating Raia, a data assistant, can make a world of difference.

Could you be doing more with your data? Let’s explore what actionable data means and what roadblocks may prevent you from unlocking its full potential.

The Limitations of Current Analytics Tools

Tools like ThoughtSpot are fantastic for creating dashboards and giving you a snapshot of what’s happening in your business. For example, you can set up alerts to notify you if your Monthly Active Users (MAU) drop below a certain number. That’s helpful, but it’s just the tip of the iceberg.

Imagine you get an alert that your MAU has dropped. Now what? You need to figure out why it happened. This means digging through various data sources—your product utilization database, CRM, and ticketing systems—to piece together the story. It’s like trying to solve a puzzle without knowing what the picture looks like.

The Gap: From Visualization to Action

Here’s where things get tricky. You know your MAU dropped, but understanding why takes a lot of time and effort. You might need to look at:

  • Product Utilization Database
    • Are there features that users aren’t using?
    • Have key users stopped engaging?
    • The users that dropped are free or paid users?
  • CRM
    • Are the users who are dropping off paying customers or potential sales leads?
    • If paid users, what’s the impact of them not renewing their subscription because they are not using the system?
    • If they are potential customers, have they used the features that will help them solve their pain points identified by the sales team?
  • Ticketing Systems
    • If utilization is dropping because of new bugs, are there tickets already opened to fix those?

All this data is usually spread across different systems, making it hard to get a clear picture quickly. And time is money. Delays in understanding your data can lead to missed revenue opportunities and increased user churn. Studies show that companies can lose up to 10% of their revenue due to slow reactions to data insights. Plus, user churn can go up by 25% if issues aren’t addressed promptly. Despite spending a lot on analytics tools, many employees find them too complicated and end up not using them effectively.

Beyond the huge number of hours you will spend piecing all this data together, you will also need to interpret it, cross-reference it, and identify potential courses of action to fix this.

Here at Raia, we call this the “last mile” in the Data Analytics Race

The Last Mile for Data Analytics

Just like a marathon, data analytics has different stages and milestones. As a runner, you can run a 5K race or go all the way to running a marathon and accomplishing this last milestone involves a very different set of equipment and preparation than running a 5K.

I will write about this in more detail in a future blog, but in general, the numbers above show a significant drop at the last mile in the race for data analysis, where teams are able to perform deep analysis of their distributed data, share their insights, and plan their actions.

It’s not uncommon to run into teams who express their frustrations with the lack of value they’ve seen from their analytics investments. In most cases, their dissatisfaction can be traced back to the last mile

But what if we could fix this broken “last mile” in data analytics?

Raia: The Data Assistant

This is where Raia comes in. Raia integrates with your existing Analytics tools like ThoughtSpot and takes things to the next level. When an alert is triggered, Raia dives into the data for you, pulling insights from all the relevant systems and giving you a clear, actionable report.

For example, if your MAU drops, Raia will analyze data from your product utilization database, CRM, and ticketing systems. It’ll tell you which features are underused, which key users have dropped off, highlight any unresolved issues, and suggest specific actions to take. This will save you time and help you take immediate, informed action to fix the problem.

Integrating Raia and ThoughtSpot

Let’s look at Raia integrating with ThoughtSpot to fix the last mile problem as an example.

For this demo, I have already created:

  • A workflow for my Raia Data Assistant to run the analysis for me across databases and CRM
  • A Webhook in ThoughtSpot that calls that workflow when my KPIs are not met

Here, I have my ThoughtSpot dashboard with a few KPIs defined. The one we will be using is the WAU Last Week

By clicking on the KPI, ThoughtSpot will show me a detailed dashboard with the breakdown of the KPI.

Our goal is to set an alert for the MAU (Monthly Active Users), and we can do that by clicking on the Create Alert bell icon:

This will show me the screen to create an alert, select the webhook we previously created, set the metric that will make it run, and how often or when it should be executed:

When triggered, Raia will then:

  • Analyze your data from multiple sources
  • Put together a report with its findings
  • Define and report potential actions
  • Message you (you, multiple people, or teams) on Slack

At this point, you not only get insights into what’s actually happening and what to do, but you can also continue the discussion with Raia to then ask follow-up questions and finalize the actions:

You can leverage Raia’s Data Assistant even further by having it automatically take actions such as:

  • Create tickets for bugs that are open with no ticket assigned to it
  • Message the sales team to let them know their deals might be affected by the drop in utilization and the actions the team will take
  • Email users to re-engage them
  • And more

Conclusion

Current analytics tools are great at showing you what’s happening, but they often fall short in helping you understand why and what to do about it. Raia fills this gap by seamlessly integrating with your existing systems, performing deep analysis, and delivering actionable insights.
